We're hiring an Operations Leader! This is a broad role with a lot of opportunity for impact, most notably making moments like the one above happen, featuring our 2024 Ocean MBA cohort. 

 

Overview: As our Operations Leader, you’ll be the go-to person for all things operations, offering support across Partners, Limited Partners (LPs), portfolio companies, and service providers. You’ll help ensure the smooth running of our day-to-day tasks, and occasional events and gatherings. We’re looking for someone with high EQ, strong organizational skills, and experience in operations or project management. Our preference is for this person to live in the Greater Boston area with a hybrid in-person/remote schedule, though we'll consider fully remote candidates as well.  

Key Responsibilities:

  • Operations:
      • Assist with bill entry, payroll processing, bookkeeping and benefits-related tasks.
      • Support fund administration, tax preparation and filing, legal needs, and auditors.
      • Handle expense entries and assist with tax-related projects.
      • Develop and document business processes and accounting policies and strong internal controls
      • Seek out areas for continuous performance improvement
  • General Admin Support:
      • Provide general administrative support to the Propeller team, as a liaison to our LPs, our portfolio companies, and service providers.
      • Triage incoming requests and assist as needed.
      • Help prepare and maintain reports for external parties, ensuring accurate and timely submissions.
      • Support organization of weekly partner meetings
      • Other as directed
    • Events: Coordinate and manage logistics for all company events, including LP calls, LP Advisory Committee (LPAC) calls and gatherings, team events and meetings, miscellaneous startup and industry network events, and most significantly, the “Ocean MBA.”
      • The Ocean MBA is our week-long program for entrepreneurs held in Cambridge, MA. We seek support in both preparation for the Ocean MBA, as well as attending and acting as the main point of contact to our guests and hosts. Sample of responsibilities:
        1. Format and send all communications during the life cycle of event planning and execution
        2. Create schedules and manage project timeline
        3. Secure and work with venues, food, and beverage providers.
        4. Responsible for all hands-on organization and execution.
        5. Lead and coordinate with other service vendors or temporary hires.
        6. Work with guest hosts and speakers to get them ready for their sessions.
  • Communications/Content:
    • Format and publish website content/blog posts.
    • Manage newsletter - collect content, solicit feedback, execute send.
    • Manage all event-related emails and forms - collect content, solicit feedback, execute send. 
    • Coordinate the preparation of regulatory and financial reports
    • Assist in distributing LP update emails and other key communications.

  • Communication: Strong communication skills and the ability to manage a wide variety of tasks and work with different personality types.
  • Bias for Action: You look around corners, anticipate and act on needs, and stay one step ahead of the team.
  • Tech forward: You’re comfortable managing productivity software suites, and look for technology solutions (like AI tools) to gain efficiency and do more faster. 

Qualifications:

You should have significant work experience in operations, project management, administrative support, bookkeeping, CRM tasks, and planning and execution of live events. 

Compensation
Up to $75K annual salary (W-2 employee). Salary is based on relevant skills and experience. We also offer a comprehensive benefits package, including paid time off, healthcare benefits, a 401(k) plan, short-term and long-term disability coverage, life insurance, and more.
